Automations

Automations is a group of automatic tasks that trigger after the signee has signed the document. Some automations are only available to a subset of customers based on industry or regulation. 

Automations may incur an additional fee, if so Taktikal will notify the user before connecting the automation to the SmartFlow.

To add an automation click the "+Automation" button in the SmartFlow designer.

A list of automatic tasks available to you will appear. Click the appropriate automation to see more information about it.

Choose your automation

PEP, Sanctions and Adverse Media lookups

• PEP Icelandic - Individual
  • This lookup automatically checks if a person of your choice is present in an Icelandic database for politically exposed persons. The database includes roles as defined by the Central Bank of Iceland only.
• PEP, Sanctions & Adverse media - Individual
  • This automation checks if a person of your choice is present in a global list of politically exposed persons, sanctions and adverse media for themselves, or for individuals connected to them.
• PEP, Sanctions & Adverse media - Company
  • This automation checks if a company of your choice is present in a global list of politically exposed persons, sanctions and adverse media for the company, or for individuals connected to it.

The results are a pdf report with the findings. If the person was found in the appropriate list, the report will show all the details of the results, including links to references. If the person was found, the report will note that this person was screened but was not found.

Configure the automation

Choose which individuals/companies to lookup.

You can choose one or more fields to use for the lookup.

For person lookups it is possible to lookup persons listed in the following fields of a SmartFlow:

• The signees of the SmartFlow
• Individuals from Business Registry Profile (IS: Gildandi skráning)
• Individuals listed in person and person lookup elements

For company lookups it is possible to lookup companies listed in the following fields of a SmartFlow:

• Company element
• Company lookup IS
• Company lookup UK

When the automation has been configured, it will be shown with a green checkmark

Taktikal also offers several automations that are not yet available to be configured in self service, but that Taktikal can configure for you.

1. Chained flows
   
   1. Automatically starts a second SmartFlow once the first one has been signed.
2. Compliance check during authentication
   1. Checks at the start of a SmartFlow if the person has already been approved in Risk monitoring
3. Get setup information from external endpoint
   
   1. Collects data for setup information from your API
4. Business Registry Profile lookup during authentication (IS)
   1. Collects information from the business registry profile and displays it to the signee in the SmartFlow
5. Netorka lookup during authentication (IS)
6. Authorised signatory lookup during authentication (IS)
