Connected Flows

Connected Flows let you automatically link two or more SmartFlows so that when the first flow is signed, additional flows are triggered.

These can be sent every time or only when specific conditions are met, such as automatically sending a parental consent flow to a parent if a signee is underage. 

This makes it easier to manage multiple flows and ensures the right SmartFlows are sent to the right people, at the right time.

Configuring connected flows

To connect flows together first open the SmartFlow that will be signed first and click the +Connect Flow button on the SmartFlow overview.

Next select which SmartFlow should be sent once the current SmartFlow has been signed.

Note that only published SmartFlows without Setup information are available for connecting in the SmartFlows designer. If you want to connect a SmartFlow that has setup information, please contact help@taktikal.com and we'll configure it for you, ensuring that all data keys flow seamlessly between the two flows.

Next select who should receive the selected SmartFlow. This could be the signee of the current SmartFlow (marked as Same signee) or any person who's communication information has been entered in a Person element or Person lookup element.

Note that only possible signees based on the required contact info for the signature type are shown. Therefore, if the contact info for the intended recipient is collected in a person element (which can collect info on name, email and phone number), but the signature of the connected flow is a Qualified signature (which requires a Persons ID number and email address) that person element will not be shown in the list. In such cases, alter either the element type to collect all the appropriate information or alter the signature type of the connected process.

Finally choose when he connected SmartFlow can be triggered.

If the connected SmartFlow should always be sent when the first SmartFlow is signed, then choose always.

If the connected SmartFlow should only be sent if certain circumstances apply, then choose conditionally.

Finally click Save to connect the two SmartFlows. 

Note that this change is applied instantly, the SmartFlow does not need to be published for this change to be applied.

Conditionally triggering flows

To conditionally send connected SmartFlows choose the trigger "Conditionally". SmartFlows can be send conditionally based on answers to multiple choice questions.

Next click "Select question" to select which multiple choice element has the answer that the conditional logic should be based on.

You will see a list of all forms that have a multiple choice element that can be used to trigger the second SmartFlow. Click on a form to see the underlying questions and choose the appropriate one.

When you have found the question that includes the answer you need to trigger the flow click it and then click save at the bottom of the window.

The only supported rule for triggering SmartFlows conditionally is "is equal to". If you want to trigger a connected SmartFlow based on more than one answer, simply add another connected flow where all the fields match except the answer value.

Once you have chosen your element choose the value that should trigger the connected flow. The values shown are the answer options for the selected element.

Here we can see a configuration for sending out the "My second SmartFlow from copy" to the individual specified in the "About yourself" Person lookup (IS) element. The connected SmartFlow is only sent if they signee of the first flow chose "Yes" to the question "Do you need additional elements?".

Multiple connected flows

If you need to send the same SmartFlow out to more than one person, based on more than one answer or if you need to connect more than one flow, simply add another flow by clicking the +Connect flow button and repeat the process until all requirements have been met.

Remove connected flow

To remove a connected flow click on the correct connected flow module. Review the settings to make sure you have the correct one and then click the delete button in the bottom right corner of the screen.

Confirm the deletion by clicking Delete in the popup.
