What are Contacts?

A contact is a recipient of a signing request. When you send a document or SmartFlow to a signee through app.taktikal, a contact is automatically created in your Contacts.

Each contact is associated with a single signature type. This means the same person may appear as multiple contacts if they have received signing requests using different signature types.

Creating Contacts

When you first start using Taktikal, the Contacts page is empty. As you send signature requests through Drop & Sign or SmartFlows, the people you send them to are automatically added to your contacts.

You can also create contacts directly from the Contacts page, one at a time, by clicking "Create contact".

Start by selecting the signature type you want to associate with the contact, then fill in the required information. Finally, click "Create contact" to save the contact.

The contact will appear in your contacts list.

Importing Contacts

You can also create multiple contacts at once by uploading a spreadsheet. Click "Import contacts", then select the signature type you want to create contacts for.

You will see an example of the data required for the selected signature type. You can also download an example file, which we recommend using to ensure that your data is formatted correctly.

The example file includes all required columns (marked with an *) as well as optional columns and instructions for completing each field.

Groups do not need to be created in app.taktikal before being added to the spreadsheet. If a group name in the spreadsheet does not already exist in app.taktikal at the time of import, the group will be created automatically.

When your spreadsheet is ready, click "Upload file" and select the correct file.

Only .xlsx files are supported. If you are using another spreadsheet application, such as Google Sheets, make sure to download or export the file as .xlsx before uploading it.

Once the document has been process you will be presented with a summary of all new contacts and groups created from the import. Click "Add contacts and groups" to finish the import.

Note that Advanced and Standard contacts use the same format and can be used for both signature types. Therefore, contacts created for either Advanced or Standard signatures will appear in Contacts as Standard contacts.

 

Using Contacts

To send a signing process to a contact, enter their name, email address, phone number, or other contact information in the recipient search field.

Matching contacts, along with any groups they belong to, will appear in the search results. Click the relevant result to add the contact or group to the signing process.

Creating Contact Groups

To create a contact group, open the "Groups" tab and click the "Create group" button.

Enter a name for the group, then select the contacts you want to include. Click "Create group" to save the group.

Congrats, you've created your contact group.

To see which contacts are included in a group, click the arrow on the right side of the group card to expand it.

To edit the group, click "Update group".

From there, you can rename the group, add contacts, or remove existing contacts.

To delete a group, click "Delete group".

Deleting a group does not delete the contacts within it.

Using Contact Groups

You can send a signing process to a contact group through Drop & Sign by entering the group name, or the name of any contact in the group, in the contact search field and selecting the group from the search results.

All contacts in the group will be added to the signing process as signees.

You can add, remove, or edit signees just as you would in any other signing process. Changes made to signees after they have been added to the process do not affect the saved contacts or contact groups.

 

Sharing Contacts

By default, contacts are not shared between users within a company, so any contacts or groups you create are visible only to you. A company admin can change this by enabling shared contacts at the company level. When shared contacts are enabled, any contacts or groups created will be shared with all users in the company. Once shared contacts have been enabled, they cannot be made private again.
