To send a SmartFlow navigate to the SmartFlow tab on the Right Navigation Panel and find the SmartFlow you want to send. Then click the "Send ➜ " button.
You can send a SmartFlow:
- to a saved contact or group
- with a Qualified signature
- with an Advanced signature
- with a Standard signature
- with a Click to Sign signature
- to multiple signees (first person fills in the forms and then multiple people sign the same document - one process)
- with batch sending (each person fills in the forms and signs their own document - multiple processes)
Send a SmartFlow to a saved contact or group
If the recipient or recipient group (for multiple signees) has been saved in your contacts you can start writing their name in the "Your contacts or groups" field.
Once you see the correct contact click on their name.
Note that the signature type is automatically selected based on the signature settings of the SmartFlow.
Sending a SmartFlow with a Qualified Signature.
If the recipient has not been saved in your contacts click the "+ new recipient" button and fill in their national ID number, name, mobile phone number and email. Click the "Add signee button"
Choose if the SmartFlow should be sent to them by email or by sms and click the "Send" button to send the SmartFlow to the recipient.
Your SmartFlow has been sent. You can track the progress of the SmartFlow in the Activity log.
Sending a SmartFlow with an Advanced Signature.
If the recipient has not been saved in your contacts click the "+ new recipient" button and fill in their name, mobile phone number and email. Click the "Add signee" button
Click the "Send" button to send the SmartFlow to the recipient.
Your SmartFlow has been sent. You can track the progress of the SmartFlow in the Activity log.
Sending a SmartFlow with a Standard Signature.
If the recipient has not been saved in your contacts click the "+ new recipient" button and fill in their name, mobile phone number and email. Click the "Add signee" button
Click the "Send" button to send the SmartFlow to the recipient.
Your SmartFlow has been sent. You can track the progress of the SmartFlow in the Activity log.
Sending a SmartFlow with a Click to Sign Signature.
If the recipient has not been saved in your contacts click the "+ new recipient" button and fill in their name and email. Click the "Add signee" button
Click the "Send" button to send the SmartFlow to the recipient.
Your SmartFlow has been sent. You can track the progress of the SmartFlow in the Activity log.
Send a SmartFlow to multiple signees
By default all SmartFlows are configured to be able to send to multiple signees.
To send to multiple signees add the first signee in the same manner as described above.
You'll note that the "+ New recipient" button will remain after adding the first signee when multiple signees is supported in the SmartFlow.
Add the next signee/s in the same manner.
The signees will be automatically split into signee and co-signees to indicate that only the signee can fill in the forms of the SmartFlows. All co-signees will be sent a signing request to sign the final document in the order that they are listed. Signee and co-signees can be reordered by clicking the six dots on the left side of the signee card and dragging them to the appropriate place.
Batch sending
If you need to send a SmartFlow to a group of individuals where each person receives their own form and document, you can use the batch sending feature to simplify the process. Batch sending allows you to upload an excel sheet (.xls, .xlsx or .csv file) with information about the signees instead of having to manually send each one.
To batch send simply click on the three dots for the applicable SmartFlow and select Batch send processes.
A pop up modal will appear that shows you what information needs to be in the excel sheet in order for batch sending to work. The neccessary fields include the communication information needed for the signature as well as any setup information fields.
Note: Batch sending does not support List elements at this time.
You can download a demo document that shows you how the document should be configured for the batch sending to work or you can rename the column headers of any excel sheet to those exact terms. The terms are case sensitive and need to be entered in the exact same format for batch sending to be successful.
When your file is ready, click Select file, or drag and drop it to this area to upload it.
Once the SmartFlow has been sent you will be diverted to a page that shows the status of the upload.
You can click the refresh button to see an update of the status. You can close this window without it having any effect on the sending process.
Once sending has finished the page will show the results of the batch sending.
Once all SmartFlows have been sent you will also receive an email informing you of the results.
