Flows

The Flows settings page includes a list of all flows in the account and the following information and actions for each flow:

Basic overview

In the overview for each item you will see the following fields:

  • Flow name - The name of the flow. By default, all companies have a flow called Drop & Sign - Company name.
  • Flow type - Each flow is of a certain type. Those types are Drop & Sign, Fill & Sign or SmartFlow
  • Flow key - Each flow has a unique key which is required to identify it when using the API or webhooks
  • Updated at - The last time this flow was updated
  • Created at - When the flow was created
  • Draft - If the flow hasn't been published that is indicated by the draft icon

Actions

For each flow type there are various actions that can be performed:

Drop & Sign actions

For Drop & Sign flows you can configure the email templates for automatic emails. By default greeting emails, deliver to signee and deliver to sender are turned on for all Drop & Sign flows. By clicking on each icon you can edit the text that is sent in the emails and determine if the signed document should be included or not. 

Including and excluding attachments

To determine whether or not the signed document is delivered to the signee, simply click on the icon that corresponds with the delivery method to the signee. 

This will take you to the email template where you can both edit the message delivered to the signee as well as choosing whether or not to include the signed document as an attachment in the email. The document is delivered in the email by default, but you can override this by un checking the checkbox marked: Include signed document in attachments. - This can be useful if the document will contain very sensitive information that you don't want delivered via email.

Note - make sure to deliver the document to your company in one of the delivery methods, or the document will not be delivered to you, and will be irreversible deleted 30 days after signing.

Other delivery methods that can be configured:

  • Deliver to email inbox - this email will be sent to a specific predetermined email address.
  • Deliver by webhook - this will be delivered directly to your system of choice. Read more about webhooks here.

Fill & Sign actions

  • Number of signees - A Fill & Sign form can have multiple signees, here you can configure how many signees can sign a single Fill & Sign form
  • Number of attachments - A Fill & Sign form can have attachments, here you can configure if attachments are allowed and the minimum amount of attachments.
  • Open preview - This opens the form in another window
  • Download published PDF - This downloads the form that has been published
  • Download draft PDF - This downloads the form with any unpublished changes
  • Update flow - Here you can edit some basic settings of the flow: flow name, flow language, signature placement, number of signees and number of attachments
  • Unpublish flow - This deactivates the flow so it can no longer be signed.

SmartFlows actions

  • Edit - This opens the SmartFlow editor
  • Copy key - This copies the Flow key
  • Unpublish flow - This deactivates the flow so it can no longer be signed.
  • Duplicate flow - This creates a copy of the flow
