What are contacts?

A contact is a recipient of a signing request. When you send a document or SmartFlow to a signee via app.taktikal a contact is automatically created in your contacts. Each contact is connected to a single signature type, so the same person may exist as multiple contacts, one for each signature type.

Creating contacts

When you first start using Taktikal, the contacts page is empty. It will be automatically populated with contacts that you've sent signature requests to via Drop & Sign or SmartFlows.

If you want you can also create contacts directly from the contacts page, one at a time, by clicking the "create contact" button.

Start by choosing the signature type you want associated with the contact and then fill in the requested information. Finally click "Create contact" to save the contact.

The contact will appear in your contacts list.

 

Importing contacts

Another way of creating contacts is by uploading a spreadsheet with multiple contacts. Simply click the "Import contacts" button. Next select the signature type you wish to create. You will see an example of what data is required for each signature type. You can also download an example file (recommended) to help you format the data correctly.

The example file includes all required columns (marked by a *) as well as optional columns and instructions on how to fill in the fields. Note that groups do not have to be created in app.taktikal before adding them to the spreadsheet. Any group name that doesn't exist in app.taktikal at the time of import, will be automatically created.

When your spreadsheet is ready upload it by clicking the "upload file" button and choosing the correct spreadsheet. Note that only .xlsx files are supported, so if you're using for instance google sheets, make sure to download the document as .xlsx before uploading it.

 

Once the document has been process you will be presented with a summary of all new contacts and groups created from the import. Click "Add contacts and groups" to finish the import.

Note that all Advanced and Standard contacts use the same format and can be used by both signature types. Therefor all contacts created for either Advanced or Standard contacts, will appear in contacts as Standard signature Contacts.

 

Using contacts

To send a signing process to a contact simply enter their name, email address, phone number or other contact properties into the search box for recipients. The contact and any group the contact belongs to will show up in the search field. To add them to the signing process, simply click the correct result.

 

Creating contact groups

To create a contact group open the "Groups" tab and click the "Create group" button.

 

Write the name of the group and then select which contacts should be in the group and click "Create group"

To see which contacts are in the group, simply click on the arrow on the right side of the group card to expand the group. 

To update the name and contacts of the group, click "Update group". From here you can rename the group, add contacts or remove them.

To delete the group, click "Delete group". Note that this only applies to this group, not the contacts within the group.

Using contact groups

You can send a signing process to a contacts group via Drop & Sign by writing the name of the group or the name of any individual in the group in the contacts search field and selecting it. 

All the contacts from that group will be added to the signing process as signees.


You can add more signees, remove signees and edit them as with any signing process. Note that any changes made to the contacts after adding them to the process, will not affect the saved contacts or contact groups.

 

Sharing contacts

By default contacts are not shared between users of a company, so any contacts or groups you add will be yours alone. This can changed by an admin on a company level by enabling shared contacts. When shared contacts are enabled, any contact or group created will be shared with the entire company. Once enabled, contacts can not be un-shared.
